Position Summary:
Responsible for providing administrative support to both Account Services and Creative as well as supporting defined billable client/project management tasks as assigned. Targeting a minimum of 400 hours billable hours.

General & Daily Responsibilities
  • Manages on-site and assigned off-site client and internal meetings (logistics, meeting refreshments/meals, client travel to/from event)
  • Coordinates travel arrangements for assigned team members
  • Maintains and updates SVP calendars for meetings, vacation, travel, etc.
  • Submits AMEX and expense report submissions as assigned (SVP and VP level)
  • Manages routine office support assigned (faxes, copies, mail, phone calls, etc.)
  • Creates and edits projects involving PowerPoint and Excel (client or internal)
  • Manages client contact database (ACT) for assigned clients/accounts
  • Manages coordination of account reconciliations and CRM summaries
  • Learns relevant client processes for assigned accounts so as to remain compliant with contractual agreements (travel, expense submissions, project management as assigned)
  • Completes assigned conference reports, phone confirmations, project management tasks by working directly with AEs
  • Assists with the billing process and tracking account receivables
  • Compiles a client reference file or library of competitive information, completed jobs and other key documents.
Minimum Qualifications & Skills Required
  • High school diploma or equivalent with at least two years of administrative experience or 2-years of relevant experience in sales, advertising or marketing.
  • Working knowledge of MS Word, Excel, PowerPoint and Outlook
